Expectations
What is this process for?
- Events (including team meetings, etc. — anything that needs a space reserved or church-wide communication)
- Meet-ups & Group Launches/Events are mediated and submitted by @Dan. If you are a staff/volunteer lead involved in leading a Group or Meet-up, please go through the normal communication with Dan (or fill out the Host A Meet-up form)
- Communication Needs: Changes/updates happening, not tied to a specific date/time. Anything happening at a specific date/time is treated as an event.
- Job Listings
Timelines
“When do I need to submit my event?” 6+ weeks in advance full promo.
“What approval timeline can I expect?” You can expect approval of your room reservation within one week, and promotion to be planned within two weeks.
Communication
- Approval will be sent via 1) Email + 2) a comment on your Notion Event submission
- Ongoing communication about your event will happen in Notion. Favorite the Notion page for your event.

Text Tutorial
#1: Check Planning Center Calendar
Check the Planning Center Calendar to find a good window for promotion, and to find which rooms are available to reserve. Do not add any events directly to the PC Calendar.

Try to pick a time slot that isn’t near other events (esp. church-wide ones)

To check for a room to reserve, click on any conflicting events at your proposed time slot and in the pop-up window, look for the 4-squares icon to see what room is reserved for it.
